Associate to the Institutional Advancement Office


The Associate to the Institutional Advancement Office reports to the Director of Institutional Advancement.


The Associate to the Institutional Advancement Office’s primary responsibility is to provide administrative and project support to the entire Institutional Advancement Team. As a member of the Team, she/he assists the Director of Institutional Advancement, the Director of Institutional Giving, Director of Institutional Communications and the Director of Alumnae & Parent Relations and Special Events daily in an effort to ensure the efficient management and completion of all efforts relating to the Institutional Advancement Office. This is a full time position which will require additional evening hours, attendance at all Institutional Advancement events as well designated school-wide events and some off-site work and travel.

Job Responsibilities include (but not limited to)

Manage daily procedures for the Institutional Advancement Office which includes: gift entry in Veracross, gift accounting reports, deposits of all revenues to the Business Office, monthly reconciliation in conjunction with the Business Office and the generation of all acknowledgement letters.

Manage monthly expenses, check requests, supplies, work orders and requisitions.

Manage all aspects of Institutional Advancement Office mailings including but not limited to solicitations, event communications and publications.

Manage all aspects of the School Store including volunteer schedules, inventory and sales reports.

Manage and update constituent records in Veracross.

Manage all aspects of the software (BidPal/501 Auction) for the Benefit Gala.

Provide support and assistance with all Institutional Advancement Office cultivation, fundraising and stewardship events for alumnae, current parents, grandparents and parents of alumnae which include but are not limited to the Major Donor Thank you Reception, New Parent Cocktail Parties, Parent Association Meetings, Homecoming, Open House, Reunion, Library Luncheon, Christmas Mass and Young Alumnae Sing-a-long, Mother-Daughter Epiphany Mass and Breakfast, Mother-Daughter Bingo Night, Grandparents Day, Alumnae Career Panels, Ring Day, Benefit Gala, 8th Grade Moving Up Ceremony, Graduation and Alumnae Summer Cocktail Party.

Prepare and maintain Institutional Advancement Office calendar.

Prepare and distribute weekly agenda for Institutional Advancement Office team meeting.

Attend Development Committee meetings and take minutes.

Assist with other Institutional Advancement Office efforts when appropriate and as needed.

Personal Characteristics and Skills

Bachelor’s Degree.

Excellent analytical, communication (both oral and written), organizational and interpersonal skills.

Professional, confident, motivated self-starter with an attention to detail, a passion for learning and a desire to excel in the Advancement field.

Teamplayer with a sense of humor who can also work independently with proven ability to multitask and prioritize responsibilities based on the needs of the Institutional Advancement Office.
